From supporting community development and municipal operations to serving residents at Champions Park and beyond, our Finance & Administration team plays a vital role in keeping the City running efficiently and responsibly.
We are seeking a highly capable, detail-oriented Staff Assistant to provide executive-level administrative support to the Assistant City Manager/CFO and operational support across Finance & Administration — including Human Resources, Purchasing, Payroll, Budget & Accounting, Customer Service, the Community Redevelopment Agency (CRA), and Champions Park.
This is more than an administrative position. It is a trusted, high-impact role that directly supports City leadership and contributes to the operational success of a growing organization.
What You’ll Do
Executive & Leadership Support

Serve as a key support partner to the Assistant City Manager/CFO.

Manage scheduling, meetings, correspondence, and executive priorities.

Prepare professional, accurate reports, presentations, contracts, and official communications.

Track deadlines, action items, and follow-up needs to ensure departmental goals stay on schedule.

Coordinate travel and logistical arrangements for leadership.
Operational Excellence

Assist with bank reconciliations and transaction verification.

Process purchase requisitions and support departments with purchasing procedures.

Review vendor packets and establish vendors in the accounting system.

Reconcile purchasing card transactions and process approved payments.

Review invoices for accuracy prior to payment routing.
Records & Compliance

Maintain organized electronic and physical records.

Protect confidential financial and personnel information.

Assist in preparing documentation for audits and compliance reviews.

Support bid advertisements and procurement notices.
-
Maintain the Finance & Administration web page.
Service & Coordination

Deliver exceptional customer service to both internal departments and external stakeholders.

Coordinate departmental and citywide training efforts.

Track continuing education requirements.

Assist with cross-departmental initiatives as assigned.

Minimum Qualifications

Two (2) years of progressively responsible administrative experience.

High school diploma or equivalent required; Associate’s degree preferred.

Experience in bookkeeping, finance, purchasing, or customer service preferred.

Proficiency in Microsoft Office applications.

Strong written and verbal communication skills.

Ability to maintain strict confidentiality and high accuracy standards.

Work Environment
Work is performed in a professional municipal office setting with regular interaction with City staff, leadership, and the public. The role requires sustained focus, attention to detail, and the ability to manage interruptions while maintaining professionalism and confidentiality.
Hybrid work available with a minimum of 20 hours a week in office.
