Description

Newberry Community School (NCS) is seeking a detail-oriented and organized Database Clerk to maintain accurate student records and support the school's student information system. This position plays a vital role in student registration, scheduling, data management, transcript processing, and reporting while providing excellent customer service to students, families, and staff. The ideal candidate is highly organized, maintains strict confidentiality, communicates effectively, and thrives in a fast-paced educational environment.

Minimum Qualifications

  • High school diploma or GED.
  • Minimum of two (2) years of clerical and data entry experience, preferably in an educational setting.
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.

Knowledge, Skills & Abilities

  • Proficiency with computers, student information systems, Microsoft Office, and other office software.
  • Knowledge of standard office practices and equipment.
  • Ability to accurately enter, maintain, and analyze data.
  • Strong organizational, time management, and prioritization skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to exercise sound judgment while maintaining confidentiality.
  • Ability to establish and maintain effective working relationships with students, parents, staff, administrators, and the public.
  • Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
  • Commitment to providing courteous and professional customer service.

Essential Duties & Responsibilities

  • Maintain accurate student records within the student information system, including demographic information, attendance, discipline, scheduling, grading, and other required data.
  • Enter, update, verify, and monitor student and staff data to ensure accuracy and compliance.
  • Assist with student registration, enrollment, scheduling, withdrawals, and transcript processing.
  • Build and maintain master schedules, teacher schedules, student schedules, and class rosters.
  • Generate reports, mailing labels, surveys, and other documents using district software applications.
  • Monitor data integrity and resolve discrepancies in student records.
  • Answer telephones, greet visitors, and provide professional assistance to students, parents, staff, and the public.
  • Prepare, copy, assemble, and distribute documents and materials.
  • Maintain confidential student and personnel information in accordance with applicable laws, policies, and procedures.
  • Assist with school committees, meetings, special projects, and cross-training activities as assigned.
  • Demonstrate initiative, professionalism, teamwork, and a commitment to excellent customer service.
  • Maintain accurate records and complete required reports in a timely manner.
  • Attend required meetings, workshops, and professional development activities.
  • Follow all Board policies, school procedures, safety standards, attendance expectations, and ethical guidelines.
  • Perform other duties as assigned.
  • May be required to work beyond the normal work schedule when necessary.

Physical Requirements

Work requires occasional lifting of up to 50 pounds, frequent lifting or carrying of up to 20 pounds, and regular movement of objects weighing up to 10 pounds.

Terms of Employment

Salary and benefits shall be provided in accordance with the Board-approved salary schedule.
The work year and daily schedule shall be established by the Board.
