Newberry Community School is seeking a reliable and detail-oriented Senior Clerical Assistant to serve as the front line of the school office while providing advanced clerical and administrative support. This role is essential to maintaining the daily operations of the school, requiring strong organizational skills, excellent communication, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will interact professionally with students, parents, staff, and the public, handle sensitive information with discretion, and contribute to a welcoming and efficient school environment.
Minimum Qualifications
- High School Diploma or GED.
- Minimum of one (1) year successful clerical experience including data entry.
Knowledge, Skills & Abilities
- Knowledge of school policies related to assigned responsibilities
- Knowledge of basic office procedures
- Ability to operate office equipment, including communication systems
- Ability to maintain accurate and organized records
- Ability to build and maintain effective working relationships with students, parents, staff, and the public
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Strong verbal and written communication skills
- Ability to maintain confidentiality
Essential Duties & Responsibilities
- Answer incoming calls and direct them to the appropriate person or department
- Take and record accurate phone messages
- Greet visitors and assist with routine inquiries or direct them as needed
- Perform clerical tasks such as attendance tracking, scheduling rooms, paging staff, distributing mail, tracking substitute hours, and issuing student admittance slips
- Operate office and computer equipment and complete data entry tasks
- Prepare and type correspondence, reports, forms, and other documents
- Maintain attendance, discipline, and other assigned records
- Review forms and documents for completeness and accuracy
- Process free and reduced lunch applications as assigned
- Register new students and process student withdrawals
- Process requests and transfers for student records and transcripts
- Assist with clinic duties, including administering medication after required training
- Participate in school committees as assigned
- Follow applicable safety procedures and standards
- Attend staff meetings and required workshops
- Help maintain a clean and organized work environment
- Follow school policies and departmental procedures
- Communicate professionally and effectively with students, parents, staff, and the public
- Identify potential issues or improvements and keep supervisors informed
- Demonstrate initiative and accountability in daily responsibilities
- Support school goals, priorities, and overall mission
- Work collaboratively as a team member
- Maintain regular attendance, punctuality, and professional appearance
- Maintain confidentiality of all school-related matters
- Stay current and knowledgeable in assigned areas
- Manage time effectively and prioritize tasks
- Uphold high ethical standards
- Participate in cross-training as needed
- Complete required training to improve skills and performance
- Prepare reports and maintain accurate records
- Represent the school in a professional and positive manner
- Respond to inquiries in a timely manner
- Perform other duties as assigned
Physical Requirements
- Ability to exert up to 20 pounds of force occasionally and up to 10 pounds of force frequently to move objects.
